File Setup

Artwork & File Preparation

1USPS requires a clear address block on the right side of the address face, with the barcode clear zone below the address. Supply artwork with the address block positioned correctly or use our template.
2For EDDM pieces, the USPS Retail Indicia must be placed in the upper right of the address face. We provide compliant indicia placement as part of our EDDM service.
3Postcards must have a minimum 0.007" (0.18mm) thickness to qualify for postcard rates. Standard 14pt card stock meets this requirement.
4Variable data fields (name, address, personalised offer) should be indicated in your artwork as placeholder text. Supply your data list as a clean CSV or Excel file with clearly labelled columns.
5Ensure the address face is free of dark backgrounds or busy imagery behind the address block — USPS optical character recognition requires high contrast.
6Supply print-ready PDF at 300 dpi with 3mm bleed. Include a separate data file for variable addressing.

Colour & Proofing

Colour Matching & Proof Approval

A digital proof is provided for the print artwork. For variable data jobs, we also provide a data proof showing a sample of merged records before production.

Inkjet addressing is applied after printing and uses a separate ink system. Address colour is typically black — we advise on contrast requirements for your chosen background.

For postcard campaigns, we recommend a physical proof of the first piece before approving the full run, particularly for colour-critical brand materials.

How It Works

The Ordering Process

01

Campaign Brief

Tell us your target audience, mailing class, quantity, and piece format. We advise on the most cost-effective approach and provide a full print-and-mail quote.

02

List Processing

Supply your mailing list or we acquire a targeted list on your behalf. We run NCOA processing to remove undeliverable addresses and reduce waste.

03

Print & Address

Mailers are printed, proofed, and approved. Addressing is applied via inkjet or laser. Variable data is merged and verified.

04

Sort, Bundle & Post

Pieces are sorted to USPS requirements, bundled, and submitted to the postal stream. We provide a mailing receipt and tracking information.

Pricing

What Affects Your Quote

Every project is unique. We provide detailed, itemised quotations based on your exact requirements. The following factors influence the final price:

Piece size and weight — affects postage classification
List source — customer-supplied vs. acquired list
NCOA and list processing fees
Variable data complexity
Addressing method (inkjet, laser, label)
Print specification — stock, colour, finishing
