A printing quote is only as accurate as the information it is based on. When a printer does not have all the details they need, they make assumptions — and those assumptions may not match what you actually want.
1. The finished piece
Finished size (width x height, in inches or millimetres). Number of pages or panels (for multi-page documents or folded pieces). Fold type, if applicable (bi-fold, tri-fold, Z-fold, gatefold, etc.). Single-sided or double-sided printing. Orientation (portrait or landscape).
2. Quantity
The quantity you need. Whether you would like prices at multiple quantities (recommended — see our guide on how quantity affects unit pricing). Whether you anticipate needing additional copies in the near future (it is usually cheaper to print more now than to reprint later).
3. Paper stock and finish
Paper weight preference (e.g. 130 gsm, 200 gsm, 350 gsm). Coated or uncoated stock. Surface finish preference (gloss, silk/satin, matte). Lamination requirement (gloss laminate, matte laminate, soft-touch). Special finishes (spot UV, foil stamping, embossing, die-cutting). If you are unsure, note that and ask for recommendations.
4. Colour
Full colour (CMYK) or limited colour (two-colour, single-colour, black-and-white). Whether any Pantone spot colours are required, and if so, the PMS numbers. Whether colour matching to a previous print run is required.
5. Artwork status
Whether you have print-ready artwork or need design/prepress assistance. The file format you will supply (PDF/X-1a preferred; also AI, INDD packaged, PSD). Whether the artwork has been set up with correct bleed and CMYK colour mode. Whether there are any known artwork issues you want the prepress team to be aware of.
6. Delivery
Delivery address (including any access restrictions or delivery instructions). Whether collection from the printer is an option. Required delivery date. Whether the job is time-critical (affects whether rush production is needed).
A note on artwork
You do not need to have finished artwork before requesting a quote. A quote can be prepared based on a description of the job. However, the printer will need to see your artwork before they can confirm the final price — artwork that requires significant prepress correction may attract additional charges. If you do not have print-ready artwork, mention this when requesting your quote. Many commercial printers, including Astro Graphics, offer design and prepress services that can be included in the production cost.
Questions to ask your printer
What file format do you prefer, and what are your artwork specifications? What is your standard turnaround time for this type of job? What proof types do you offer, and what is the cost of a physical proof? What is your policy on colour variation between the proof and the finished job? What happens if there is a problem with the finished job? Can you provide samples of similar work?
